August 22nd: Special Meeting
Please keep an eye out for a letter this week that contains a ballot and voting instructions for the special meeting. The meeting location will be at the Antioch Branch Library (8700 Shawnee Mission Parkway), from 6:30pm to 8:00pm. The Board is following protocols for this meeting as outlined by Kansas Statute and our bylaws.
Voting will be anonymous. It is imperative that homeowners return their ballot in the official envelope provided for legal purposes. Absentee ballots will be sent to Rod Hoffman’s office and a third party will courier absentee ballots to the meeting. Ballots will tabulated by third party in front of attendees.
Voting rules:
- Each homeowner has one vote – please bring your ballot and official envelope to the meeting if attending in-person.
- Absentee voting is allowed if you cannot attend the meeting.
- The official envelope provided will be used for legal verification. Ballots returned in anything other than official envelope cannot be accepted.
- Mailed ballots must be received by Rod Hoffman’s office no later than 5:00pm on August 22nd.
- Late ballots cannot be accepted.
- All ballots will be opened and counted in person by a third party.
- No proxy voting is permitted. Any ballot brought by persons other than the legal homeowner cannot be accepted.
We will hear from members of the Board and will offer a chance for neighbors to ask questions prior to ballot voting and ballot counting. We hope to see you there!
Yard of the Month:
Our August winner 7108 Conser. Congrats! As a reminder, the Board awards a household with a gift card in recognition of their effort of maintaining a beautiful yard, flowers, appearance, etc.
Garage Sale Weekend:
The HOA will put out signs around the neighborhood the week before the date.
Complaint Update: The Board is working with legal counsel to resolve the two additional complaints that were submitted. For the purpose of transparency, you can read the Kansas Human Rights Commission claim and also HUD claim documents on our website. Both are claiming racial discrimination. The HOA has provided each department the requested documentation for the respective investigations. We will notify residents as soon as we a resolution.
Board Meetings: A quick reminder that monthly Board meetings are open to all! We try to meet on the first Thursday of each month – more information can be found on our website here. The next meeting date August 10th and we’ll meet at Panera at 75th and Antioch at 6:30 pm.
By-laws Project Update: We’ve discussed at our annual meeting that we are working to update and reformat our association’s bylaws to be easier to understand and consistent with other associations. We welcome you to stay involved and attend our meetings if possible. Drafts and working documents of all reformatting will be available and shared periodically. The official Bylaws will be finalized for membership voting approval by the Annual Meeting next year.
Facebook Update:
Though a wonderful resource, some posts on the Milburn Fields Families Facebook group became a considerable liability for the association. As Kansas Statute does not require an HOA to have social media, it is the best interest of the association for the Facebook group to remain closed for the foreseeable future. We will make sure the website and email monthly newsletters include important neighborhood updates and city events happening nearby.
